The purpose of the Student Groups Manager is to plan, direct, oversee and evaluate groups. The position ensures that all Student Groups are aware of and follow SAMU and MacEwan Universities policies and procedures. The position must operate in accordance to the vision, mission and values of SAMU.



Student Group Operations- 50%

o       Support the day to day operations of Student Groups

o       Develop, uphold and/or update policies and procedures that identify the roles and responsibilities of SAMU Student Groups

o      Collaborate and advocate on behalf of Student Groups with internal and external stakeholders

o       Review new applications and complete orientation and training

o       Facilitate/Mediate Student Group member conflicts

o       Coordinate and host networking events for Student Groups on campus

o       Work closely with the Students’ Association Vice President of Student Life, the Director of Finance and the Financial Analyst on Student Group financial operations

o       Approve Student Groups advertising and marketing materials

o       Assist Student Groups with volunteer resource management

o       Approve Student Group Operational Grants

o       Oversee bookings, grants, executive updates etc. for Student Groups

Planning and Administration-35%

o       Implement/update office procedures and systems within the department for better functionality

o       Assist in the oversight of financial accounting processes for Student Groups in collaboration with the Finance Department

o       Develop and maintain a system to accurately determine metrics and statistics on an annual basis.

o       Compile year end reports for all Student Groups

o       Validate Student Groups volunteer hours via the MacEwan University Co-Curricular record program

o       Collaborate with Marketing and Communications on department needs

o       Organize and implement an annual Student Groups training program

o       Liaise with MacEwan staff and departments to ensure proper bookings and communication between Student Groups and the university

o       Oversee travel, insurance and liability coverage for Student Groups


Supervision/Management- 15%

o       Recruit, hire, supervise, and evaluate Student Groups Admin Assistant and Student Groups Coordinator.

o       Research various systems to encourage efficiency within the Student Group Department

o       Effectively divvy workload between the Student Groups Department

o    Manage, support and develop staff by providing feedback and approval where needed.

o       Develop and maintain the department budget and goals annually

o    Monitor department budgets and maintain a cost-effective operation

o    Research professional development opportunities and maintain up-to-date knowledge on industry trends.

o    Other duties as assigned



o      A diploma/degree in a relevant area or equivalent education and experience

o      A minimum of 3 years of management experience in a not-for-profit organization is considered an asset

o    Experience with developing and managing budgets


Skills and Abilities

o   Strong conflict management and leadership skills

o     Strong interpersonal skills are required; must effectively communicate with others (written and verbal);

o      Ability to organize time and priorities with limited supervision

o      Ability to work cooperatively with the team

o     Working knowledge of Microsoft Office

Terms of Employment

The full-time position features health and dental benefits and an Employee Assistance Program after probation is complete.

Student Groups Office hours are Monday-Thursday 8:30 am-7:00 pm, Friday 8:30 am- 4:30 pm. Hours are reduced over the summer months.

The manager is expected to work two afternoon shifts per week.
